What is W-3c?

Form W-3c, Transmittal of Corrected Wage and Tax Statements, accompanies Copy A of Forms W-2c when an employer files corrections with the Social Security Administration. It totals the previously reported and corrected amounts across all the W-2c forms in the submission so the SSA can update its wage records.

A W-3c is required whenever paper W-2c forms are filed, even for a single correction. Employers who e-file corrections through the SSA’s Business Services Online do not prepare a separate W-3c, and current rules require most employers to file corrections electronically.

Who files W-3c?

  • Employers transmitting one or more paper Forms W-2c to the Social Security Administration
  • Employers correcting a previously filed W-3 itself, such as a wrong EIN or establishment number
  • Payroll providers submitting correction batches for employer clients
  • Household employers fixing a filed W-2 for a household employee

How to fill out W-3c

  1. Enter the tax year and the kind of payer and employer boxes to match the original W-3.
  2. Fill in your EIN, business name, and address, and the EIN previously reported if it was wrong.
  3. Total the previously reported amounts and the corrected amounts from all attached W-2c forms in the paired columns.
  4. Enter the number of W-2c forms attached and explain any decrease in tax amounts where the form asks.
  5. Download the PDF and mail it with Copy A of the W-2c forms to the SSA address in the instructions. File Form 941-X separately if your employment tax returns also need correcting.
Worth knowing: The W-3c and the W-2c Copy A forms it transmits must be e-filed through the SSA’s Business Services Online or submitted on official scannable red-ink paper stock. Do not print Copy A pages from a downloaded PDF and mail them; keep your printout for records only.

Yes, if you file on paper. Every paper W-2c submission to the SSA needs a W-3c transmittal, even for a single form. Electronic filers skip it because the system builds the totals.

Can Form W-3c correct an error on the W-3 alone?

Yes. If the W-2s were right but the W-3 had a mistake, such as a wrong establishment number or kind-of-employer box, you can file a W-3c by itself to correct the transmittal.

Where does Form W-3c get filed?

With the Social Security Administration, either electronically through Business Services Online or by mail on official forms. It does not go to the IRS.
