Schedule B (Form 941), Report of Tax Liability for Semiweekly Schedule Depositors

Schedule B breaks an employer’s quarterly payroll tax liability down by day, so the IRS can match deposits to when the liability arose. Fill in the official IRS PDF below and download it.

What is Schedule B (Form 941)?

Schedule B (Form 941) is the daily record of federal employment tax liability that semiweekly schedule depositors attach to Form 941. Instead of one quarterly total, it shows the tax liability for each day of the quarter, grouped by month, so the IRS can check that deposits were made on time.

The liability reported on Schedule B is when the tax was incurred, generally each payday, not when deposits were made. The monthly totals and the quarter total must agree with the total tax after adjustments and credits reported on Form 941.

Who files Schedule B (Form 941)?

  • Employers who are semiweekly schedule depositors under the IRS deposit rules
  • Employers whose accumulated payroll tax liability triggered the next-day deposit rule during the quarter
  • Payroll providers and reporting agents preparing Form 941 for semiweekly depositor clients
  • Employers correcting a previously filed Schedule B alongside Form 941-X

How to fill out Schedule B (Form 941)

Frequently asked questions

Do I report deposits or liabilities on Schedule B?

Liabilities. Enter the tax liability on the day it arose, generally the payday, regardless of when you actually made the deposit. The IRS compares those dates against your deposit record separately.

How do I know if I am a semiweekly schedule depositor?

Your deposit schedule depends on the total taxes you reported during a lookback period. Employers above the threshold in that period deposit semiweekly and must file Schedule B. Check the current Form 941 instructions at irs.gov for the exact rules.

What if my Schedule B totals do not match Form 941?

They must match the total taxes after adjustments and credits on Form 941. A mismatch can lead to notices or penalties, so reconcile the daily entries before filing.
