What is W-2?
Form W-2 reports an employee’s annual wages, federal income tax withheld, Social Security and Medicare wages and taxes, and state and local detail, across its lettered copies: Copy A to the SSA, B and C to the employee, 1 and 2 for state and local filing, D for the employer’s records.
Employers file it, one per employee, with Form W-3 as the transmittal when filing on paper. Employees do not fill out a W-2; they receive it and carry the numbers onto their 1040.
Who files W-2?
- Every employer that paid an employee $600 or more, or withheld any tax
- Household employers past the annual cash wage threshold
- Employers correcting a filed W-2 use Form W-2c instead
How to fill out W-2
- Enter your EIN and business details and the employee’s name, address, and SSN.
- Report wages in box 1, federal withholding in box 2, and Social Security and Medicare wages and taxes in boxes 3 through 6.
- Complete the state boxes for your state filing.
- Give the employee their copies by January 31.
- File Copy A with the SSA by January 31, electronically through Business Services Online or on official scannable paper with a W-3.

Frequently asked questions
Can I print Copy A from this PDF and mail it to the SSA?
No. Copy A must be the scannable red-ink version ordered from the IRS or filed electronically through SSA Business Services Online, which is free and processes faster. The other copies print fine from the PDF.
I am an employee and my W-2 is wrong or missing. Is this the form I need?
No, ask your employer for a corrected W-2c. If it never comes, the IRS process uses Form 4852 as a substitute when you file.
